Privacy Policy
How GuildWire collects, uses, and protects your information.

Introduction
GuildWire ("GuildWire," "we," "us," or "our") operates the GuildWire desktop and mobile applications and the website at guildwire.app (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.
This Privacy Policy should be read together with our Terms of Service at https://guildwire.app/terms and our Refund Policy at https://guildwire.app/refunds. By using the Service, you agree to the collection and use of information as described in this policy.
Information we collect
We collect information in the following categories:
- Account information — email address, username, display name, password (stored in hashed form via Supabase Authentication), profile details, and optional OAuth profile data when you sign in with Google.
- Community content — messages, channel posts, forum content, event responses, direct messages, and other material you submit within guilds or alliances you join, including GIFs, stickers, clips, memes, and emojis inserted through the Klipy media picker.
- Klipy usage data — when you use the Klipy picker, search queries and media selections are processed through our Supabase edge proxy to the Klipy API so your requests can return results. Klipy favorites and frequently used items you save are stored locally on your device.
- Voice and presence data — voice channel participation metadata (such as joins, leaves, and duration), presence status, and technical data required to deliver real-time voice through LiveKit.
- Device and usage data — app version, operating system, platform (desktop or mobile), crash logs, and diagnostic information needed to maintain reliability and security.
- Notification data — device push tokens and notification preferences when you enable push notifications (Firebase Cloud Messaging on supported platforms).
- Support communications — information you send when contacting us at support@guildwire.app, including abuse or copyright reports.
How we use information
We use collected information to:
- Provide, operate, and maintain the Service, including authentication, messaging, voice, events, and community features.
- Enable guild and alliance administrators to moderate their communities according to their rules.
- Deliver push notifications you have enabled.
- Improve performance, fix bugs, and develop new features.
- Protect the Service and our users from abuse, fraud, and security threats.
- Respond to support requests and communicate important service updates.
- Comply with legal obligations and enforce our Terms of Service.
Legal bases (EEA, UK, and Türkiye)
Where applicable data protection law requires a legal basis — including the GDPR, UK GDPR, and Türkiye KVKK (Law No. 6698) — we rely on: performance of our contract with you (providing the Service); legitimate interests (security, product improvement, and community safety); your consent where required (such as optional marketing or certain notifications); and compliance with legal obligations.
Third-party integrations
Certain features rely on third-party services with their own privacy policies:
- Google Sign-In — if you authenticate with Google, Google processes information according to the Google Privacy Policy.
- YouTube — embedded players and feeds are subject to the Google Privacy Policy and YouTube Terms of Service.
- Klipy — the media picker (GIFs, stickers, clips, memes, and emojis) is powered by Klipy. Search requests and media delivery are subject to the Klipy Privacy Policy (https://klipy.com/support/privacy-policy) and API Terms of Use (https://klipy.com/support/api-terms).
- LiveKit — real-time audio is routed through LiveKit infrastructure as described in our Terms of Service.
Payments and billing
When you purchase paid features on GuildWire — including Gold (virtual currency), Battle Pass or Battle Pass+ (monthly premium cosmetics), or other digital goods listed at https://guildwire.app/pricing — payment processing, tax collection, and invoicing for many transactions may be handled by an authorized third-party payment provider or merchant of record (each, a "Payment Partner"). The Payment Partner may appear as the seller of record on your receipt or bank statement.
GuildWire does not collect or store your full payment card number. Payment Partners process card and wallet details according to their own privacy policies and PCI-DSS obligations. We may receive and store limited transaction metadata needed to deliver purchased features, such as your account identifier, email address, product purchased, amount paid, currency, transaction or subscription ID, and payment status.
Depending on which Payment Partner processes a given transaction, their privacy policy may also apply — for example Paddle (https://www.paddle.com/legal/privacy) or Creem (https://creem.io/privacy). The applicable partner will be identified on your checkout page and receipt.
Data retention
We retain information for as long as your account is active or as needed to provide the Service. Community content may remain visible to other members until deleted according to community or administrator actions. We may retain certain records as required by law or for legitimate business purposes such as dispute resolution and security.
You may request deletion of your account by contacting support@guildwire.app. Some information may persist in backups for a limited period or where retention is legally required.
Security
We implement technical and organizational measures designed to protect your information, including encrypted transport (HTTPS/TLS) and access controls on our infrastructure. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
Your rights and choices
Depending on your location, you may have the right to:
- Access, correct, or delete personal information we hold about you.
- Object to or restrict certain processing, or request portability of your data.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with a supervisory authority in your country (including the Turkish Personal Data Protection Authority for KVKK matters).
You can adjust in-app privacy settings for direct messages, quotes, and mentions. To exercise broader data rights, contact support@guildwire.app. We may need to verify your identity before fulfilling a request.
Children
The Service is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
International transfers
Your information may be processed in countries other than your own, including countries where our service providers operate. Where required, we use appropriate safeguards for cross-border data transfers.
Website visitors
When you visit guildwire.app, standard web server logs (such as IP address, browser type, and pages viewed) may be collected by our hosting provider. If we enable analytics cookies or similar technologies in the future, we will update this policy and provide appropriate notice or consent mechanisms where required.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy at https://guildwire.app/privacy and update the "Last updated" date. Material changes may be communicated through the Service or by email where appropriate.
